Definition
An email data silo occurs when subscriber or performance data is stored in a system that does not share it with other platforms that need it. Common examples include engagement data trapped inside the ESP that cannot feed into the CRM, campaign performance data that cannot be joined with website analytics, subscriber behaviour data in the email platform that cannot be used by the personalisation engine, and unsubscribe data that is not synchronised across all sending platforms. Data silos prevent a unified view of subscriber behaviour and limit the effectiveness of cross-channel strategies.
Consequences
- Incomplete subscriber profiles reduce personalisation and segmentation quality
- Campaign performance analysis requires manual data joining across systems
- Cross-channel attribution becomes unreliable or impossible
- Compliance risk increases when suppression lists are not synchronised
- Marketing effort is duplicated across disconnected systems
Best Practices
- Audit data integration points quarterly to identify new silos as systems change
- Prioritise integration investments based on the value of the data trapped in each silo
- Implement real-time sync for critical data types (consent, suppression, conversions)
- Document data flow mapping showing where each data type originates and where it should be available
- Evaluate ESP platforms partly on their integration and API capabilities to prevent future silos
